Ones last bit of information about us before we get the details of your trip...

Here is some information about how we work and what you can expect when you work with us:

  • We understand that the time you spend traveling is some of the most important time that can be spent in your life.  Most of us only get to travel once or twice a year if we are lucky and some even less often.  With this in mind, our goal is to help you get the most value for your money while also taking into account your budget and how you like to travel.  For us, this does not always mean finding the cheapest options, but the ones that we feel best fit with what is important to you.

  • Some trips are more complicated than others and involve much more planning.  After we know everything that will go into planning your trip, we may determine that, to include everything you asked for, we will need to charge a planning fee before we can get started.  In most cases, we will also offer an option for planning your trip that would not involve any up-front fee.  This option may involve planning less of your trip or only offering options that are available through certain travel suppliers.  We will leave that choice up to you, but we find that our clients get the most out of their trips when they take advantage of our full range of services.

  • Monday through Friday: 9:00 am to 3:00 pm Mountain Time
  • Saturday: 9:00 am to 1:00 pm Mountain Time 
  • Sunday: closed 

Principal Trip Contact

  • We find that it works best when we work with one principal contact regarding each trip.  This person essentially serves as the decision maker regarding anything that we book or plan, and is usually the person who reached out to us in the first place.  Although we will involve everyone as much as we can regarding providing information that concerns the trip, when it comes to making decisions that will affect the group as a whole, we will need to have this person give us the group's consensus.  This person will be listed on the agreement we send you before we can work on your trip.  If the person shown there is not the person you would like to have be the principal contact, let us know before completing the agreement who that person should be instead, and we will make the adjustment.

Contact from us and contacting us

  • In order to give each client and trip the attention and detail they deserve, we work on an appointment basis only.  If you need to speak with us directly, we request that you to schedule a call with us.  If none of the available times work for you, please send us an email with those times that you would be available to speak with us, and we will work with you to figure our a good time for both of us outside of those hours.  
  • If you are experiencing an urgent travel situation, we will prioritize calls and texts from those clients that we know are traveling, and will get back to you as soon as possible if we are not able to answer immediately when you contact us.  
  • We tend to prefer email as our main form of communication unless we are discussing something urgent or time-sensitive.  We will respond to regular inquiries via email unless a call or text is warranted or needed given the situation.  We may send you information regarding your trip at any time of the day via email.  If you respond right away, unless you are experiencing an urgent travel situation or what we are discussing is time-sensitive, we will respond to you at our next available opportunity during our normal business hours. 

MyTrips

  • While we do not require it of our clients, we find it easiest to work with you through MyTrips, and our correspondence will refer to using MyTrips to complete many of the tasks we will need from you to plan and book your trips.  This saves us both a lot of time, redundancy, and explanation.  You can login to MyTrips here, or set up a new account here.  There is also a mobile app we recommend you download to your mobile device so you can have your trip information available to you on the go.

Pricing and Supplier Terms and Conditions

  • When we send out your trip options with pricing, please understand that that pricing and availability can change at any time, and is best to make a decision as soon as you are able to avoid price or availability changes.  
  • Other than any trip planning fees we may charge, we do not set pricing, have any control over availability, or set the terms and conditions of our travel suppliers.  We are acting as your agent on your behalf with those suppliers, but you will ultimately be bound by pricing and terms and conditions of each supplier.  We will do our best to explain those to you before making a booking, but we cannot possibly cover every single scenario.  It is ultimately up to you to know what those terms and conditions are and ask the appropriate questions of us before making a booking.  If we do not already know the answer, we will get the answer whenever possible.  In some rare or unusual cases, you may be required to contact the supplier to ask them your questions directly.
