WHEN BASIC TRIP PLANNING CAN BE USED

  • When you book with us through one of our preferred travel suppliers and you can provide us two of any of these three things prior to planning:
    • Single destination (country or region) or cruise region
    • Specific dates you’d like to travel and for how long
    • The travel provider you’d like to book with when applicable (i.e. Royal Caribbean, Celebrity, Oceania, Marriott, Globus, Trafalgar, etc.)
  • Any booking you have made on your own that you would like to transfer to us
  • Any booking you have made through the cruise line’s future cruise desk while on board a cruise we have booked for you that we have been already credited with
  • Booking into any specific trip that we have advertised with no extra planning required
  • Purchasing travel protection through our preferred supplier, Allianz
TRIP PLANNING - BOOKINGS, OPTIONS PRESENTED, AND WHAT'S INCLUDED

  • Pricing and availability are subject to change until a deposit is made for travel.
  • Only options that are available through one of our preferred travel suppliers will be provided, and you understand that the expectation is that travel will be booked through us using these suppliers.  Failure to do this may result in you being exempt from using Basic Trip Planning in the future.
  • Only those components and destinations included in the agreement will be included with our planning services.  Additional components, destinations, or changes of destination may require a separate fee.
  • We will present you with options for your selected travel components and destination(s) that we think best fit your needs based on our conversation(s).  If you choose to make a booking from any sets of options sent, those bookings must be made within ten (10) business days of receipt of the options.  If a booking is not made within this time frame, an additional fee may be required before they will be booked.
  • If you are not satisfied with the first set of options, you must inform us within ten (10) business days.  We will send one (1) additional set of options after taking into account any notes you provide to us concerning why the first options were not satisfactory.  After this second set of options is presented, additional sets of options will require an additional fee.
  • Any shore excursions presented will be through a third-party supplier and not the cruise line unless otherwise noted.
  • Prior to sending our suggestions, we will require certain documentation be provided to us.  Options will not be provided until we have received this information unless you have indicated that you plan to book everything on your own and are paying our fee for itinerary planning purposes only.  If this is not clearly stated on your invoice, we are assuming you plan to have everything booked through us and will require this documentation up front.  Any bookings made will be made using the documentation you have provided.  We are not responsible for any loss you may incur due to a booking made using this information should it prove to be invalid, inaccurate, or deemed inadequate by government officials, airline personnel, etc.  If we agree to book travel that will require a passport, and, at the time of booking any traveler does not have a passport or the passport of any traveler is expired awaiting renewal, you agree that you are taking the risk that you may not have the required document(s) in time to be able to travel and will be liable for any non-refundable purchases made, including cancellation and change fees incurred as a result.  Documentation can be securely provided to us by visiting this link.
  • A destination guide will be provided for the principal destination for land-based trips, and the embarkation city for cruises when available.
  • Booking support entails help with general questions you have regarding that booking.   We will also contact the vendor on your behalf to handle any adjustments that need to be made to the booking before you travel whenever possible.  You may need to contact the travel supplier directly for answers to questions or changes needed regarding any unique circumstances or questions you have.
  • Cruise Fare Monitoring - We will monitor for reductions in pricing and will contact the cruise line to take advantage of those price drops for you.  If you will not lose any amenities by taking advantage, we will have the price drop applied to your booking.  If taking advantage of the price drop will cause you to lose an amenity, we will contact you to let you know of the option, and will only apply it after you have authorized it.  This is not available with all cruise vendors.
  • Transferring a booking to us can only be done through certain travel suppliers (mainly cruise vendors) within a certain time frame of making the booking.  We will only accept transfers made through another travel agent if they grant us permission to release the booking to us.

AIRFARE

  • In many cases, Basic Trip Planning does not include airfare.  If airfare will be included, it will be listed in the agreement.
  • If airfare is included, it will not be booked directly with the airline.  It will be booked through a package provider or air consolidator.  This may limit your options concerning changes and cancellations, and you will be bound by the terms and conditions of that particular supplier rather than the airline.
  • Unless stated otherwise, all airfare quoted is non-refundable and will be subject to any change or cancellation fees imposed by the airlines.  You will be responsible for paying these fees to the airlines.
